Xeople completes all system implementations in-house, which allows us to accommodate our clients with an implementation program to suit their needs. Depending on your project team’s engagement level and existing database size, implementation can be completed in as little as 3 weeks. Xeople’s onboarding commitment to our customers is to hand over a complete, usable platform and provide training to relevant users. The subscription payments start from the moment customer access is granted. As needed, additional training can be provided during our period of priority support.

Initial system build, setup and training are charged as a one-off payment. The ongoing subscription fee covers technical support along with system maintenance, secure and local hosting, and database back-ups. You can learn more about our pricing model on our dedicated pricing page.

Entire OnHire is not designed to facilitate permanent placements; it is built for casual, on-hire staffing. If your recruitment agency exclusively places candidates into permanent roles, we would suggest looking at Xeople’s other platform XeopleRecruit which is an ATS and RecruiterCRM built for perm recruiters. If your agency does a combination of temp, on-hire placements as well as permanent placements, Entire OnHire does have an integration with XeopleRecruit so customers can benefit from a shared database and manage candidates as their work preferences change. Entire OnHire was initially developed with the healthcare industry in mind. Having built a workforce management platform with mobile apps that could handle the high volume, high compliance and high speed demands of the healthcare space, Entire OnHire was built out with a broader range of features to suit other front line industries that had similar software needs. The core platform is now well-suited to industries such as education, childcare, community care, hospitality and events, warehousing and manufacturing, and of course nursing and healthcare. There are a range of Growth Modules which can be added on to the system in order to customise the software to those industries’ specific needs.

Entire OnHire is specifically tailored to the unique needs of the staffing agencies who place a high volume of workers into shift-based remote work. Entire OnHire can also work very well for agencies who place candidates into short contract roles within our key industries: healthcare, education and childcare, hospitality and events, warehousing or manufacturing, and community care. Most staffing software in the Australian market are built for permanent placements, or may offer a solution for one part of the staffing process. Entire OnHire is a true end-to-end workforce management platform, with mobile apps for clients and workers and is intentionally focused on this niche corner of the recruitment market.

As with any staffing software, the platform needs to be built, the client data needs to be imported, and the users need to be trained. Xeople’s commitment to new clients is to deliver a complete, stable and usable platform within the guaranteed timeline of the selected Entire OnHire package. Our customer onboarding process is a highly structured, collaborative project which requires engagement from the client side in order to achieve the best outcome. If delays from the client side require additional labour hours beyond the stipulations of the contract, additional fees may be incurred. Subscription payment will begin once the platform is configured, key users have completed training and login details are provided to the client.

Xeople is committed to providing a great customer experience. Part of that experience is provided in the form of our highly structured, collaborative onboarding process. The timeline between initial purchase and “Go Live” is dependent upon the scale of the project, and is intentionally quoted as a range of weeks, rather than a locked in date. The subscription fees will begin once the platform has been built and configured, data has been imported, and the client’s stakeholders have been trained. Delays in Go Live are typically caused by a lack of client engagement. We therefore recommend having an internal champion that can keep the project moving.

The level of client contribution required during implementation depends mostly on your company size, complexity and budget. While our specialty is our software, we regard our clients as the experts in their industry. The most successful implementations have a minimum of one manager dedicated to the implementation for 20 hours per week, or full time if you are a larger business. Our operations team will provide a estimated timeframe prior to you signing on.

Once the implementation project is complete, the project manager will introduce the new client to our customer support squad. Xeople understands that despite proper training, users may require some extra hand-holding as they start using the platform. Users will have the opportunity to schedule meetings to ask questions or request additional training. The length of the “priority support” period is directly linked with the pricing package. At the end of this period, regular support as stipulated in the client’s contract will be provided.

Our front-line product support team is based in our Australian Tech Hub. In order to provide a broader coverage of business hours and an appropriate escalation path, we have additional technical support staff members in our India Development Centre. Across these two locations, the Xeople team is dedicated to providing a seamless and positive customer experience as we resolve client queries.

Yes, we have a dedicated support number for current clients to call. The best option is to first lodge a support ticket as this allows us to track, assign and (as needed) escalate your query. However, for very quick clarifications on a ticket, urgent escalations or emergencies you can always call us on (03) 5971 1464.

We provide a Knowledge Base with help articles on every inch of Entire OnHire, a support portal for tickets, free webinars, and of course a phone number to call when you need it. Additionally, most pricing packages entitle our customers to a dedicated Account Manager who provides business-specific system support and system optimisation consultations as required/requested.

Yes, but only for business-critical issues. (e.g. the whole Entire OnHire system going offline). This is exceptionally rare; hence we are confident and happy to provide the service.

Xeople may still decline sponsored customisation requests if they are unachievable with our current resources or if they fail to align with the Xeople’s product strategy for Entire OnHire.

No. Investment into a development project allows Xeople to resource the build in an earlier timeframe than would be otherwise achievable. As a platform-based system, version releases are not simultaneous across all clients. Roadmap investors would get early access to the feature(s) they sponsored alongside our Beta Clients.

Clients are welcome to suggest new features or enhancements to their account manager or through the support desk. The Xeople team regularly reviews these requests and considers them in line with our product strategy and overall brand vision. Approved requests will be added to the roadmap.

Should you wish to upgrade your Entire OnHire platform outside of the scheduled releases, this can be done at an additional cost and will be dependent on resource availability. The purchase of growth modules that are version dependent can result in Xeople waving the version upgrade fee. This can be discussed with your account manager.

You can refer to your master agreement or the pricing page for version upgrade timelines. Please note, any business critical patches, bug fixes or regulatory changes will be rolled out to clients outside of the official upgrade schedule to ensure compliance and efficient system functionality.

All live training sessions conducted during your onboarding are recorded and provided to you once training is complete. If you prefer live training for new staff, these can be organised through your account manager or support desk.

Additional training sessions are available for purchase via the support desk. The cost of the session is based on a nominal hourly rate but varies based on travel requirements.

Growth Modules are optional paid add-on’s which can be added to your Entire OnHire system at any time. The setup fee for these modules includes live training.

Our system onboarding process is expertly designed to provide your relevant internal users with the appropriate amount of support and training to confidently get started with Entire OnHire. Depending on your chosen pricing package, you will receive a minimum of 9 hours of live trainings purchased core modules (Recruitment, Allocations & Finance). Firstly, they’re FREE! Most competitors only allow SMS communication of shifts to your workforce which can cost you thousands per year! Push notifications increase turnaround time of filling a job. By interaction with the notification, workers are taken straight to the “job details” page in the EOH Workforce App to lock in the shift.

A “push notification” is the technical term for any notification you receive from a mobile app (e.g. as a banner on your lock screen). Push notifications are exclusive to certified mobile apps such as our EOH Workforce App.

Yes, it can. Our popular Bulk Payroll growth module allows finance teams to manage any scale of payroll through Entire OnHire.

Yes, Entire OnHire can handle the full payroll and invoicing process for different ABN’s all within one database. To access this functionality, the Multiple ABN’s growth module would need to be purchased.

For optimal performance, Chrome is the preferred browser – however, Entire OnHire will run on any compliant web browser that meets current industry standards (e.g. Firefox, Safari, Edge).

Yes, we have a configurable rules engine that can handle both Awards and EBA’s. This allows you to handle more complex rules, e.g. per client, per site requirements.

Yes, Entire OnHire’s secure Client Portal enables your clients to place job orders, manage preferences, confirm proposed staff, and edit/approve timesheets. The Client Portal is a powerful efficiency tool to really turbocharge your staffing agency.

Entire OnHire has two mobile applications: EOH Workforce App & EOH Professional App.

The EOH Workforce App debuted in 2015 as the first native iOS and Android certified mobile app for managing remote workforces in Australia. It still stands as the most robust mobile app in the market. With enhanced candidate engagement and increased efficiency, this app continues to redefine agency labour hire.

The EOH Professional App provides a direct portal for your clients to manage their preferences, submit job requests and approve/edit timesheets.

Yes. Entire OnHire can take candidates and jobs all the way from initial job ad creation through to payroll and invoicing. What we call our “front end” includes recruitment, onboarding, allocations and our mobile apps. The “back end” includes payroll and invoicing, is fully STP 2.0 compliant and provides data for export to MYOB & XERO. All sections of the platform can be customised with full range of add-ons to suit your business needs. This genuine end-to-end platform allows agencies to remove siloes within their business, and improve data accuracy, process efficiency and candidate experience.

Yes, the software is accessed through a web browser and mobile apps. If you are using the finance module, it will automatically run a VPN when you access the browser for ultimate security and performance.

Yes, Entire OnHire has an open Rest & Soap API

Yes. Xeople has a longstanding partnership with the ATO to ensure Entire OnHire’s payroll functions are completely up to date with Single Touch Payroll requirements. All systems are currently compliant with STP2.0 and will continue to be upgraded should the ATO release a next stage.

Entire OnHire offers a two-way integration with Seek and Broadbean to post jobs to thousands of your favourite job boards. Without any integration, you can also create custom branded job application pages to be hosted on your own website. All options will feed candidate applications directly into the recruitment section of Entire OnHire.

Entire OnHire takes data security seriously and employs industry-standard security measures to protect your information. The cloud-based platform ensures that your data is backed up regularly and can be accessed only by authorised users.

Encryption at Rest:

We use SQL server as our backend database service. It employ strong encryption measures to protect personal data when it is stored on our servers or databases. This means that all data files, databases, and information are encrypted. Any personal information is safe and secure from unauthorized access when it is at rest within our database systems.

Encryption in Transit:

When data is transmitted over the internet or between our servers and external services, we use SSL certificate to encrypt the information. This encryption ensures that sensitive information such as login credentials, payment details, and personal data remains private and secure during transmission. It prevents eavesdropping and unauthorized access to the data.

Yes, Entire OnHire is a product developed by Xeople, an Australian owned and operated organisation. In order to provide exceptional software and support, we have our own development centre based in Noida, India.

Our data is hosted locally in Sydney, Australia using AWS. We have a certified internal team trained in AWS. Rackspace is a third-party provider utilised in conjunction to ensure complete compliance and best practice.
